1. Data We Collect

We collect the following categories of data when you use InsightOps:

Account information — name, email address, organisation name, billing details.
Operational event data — messages, tickets, emails, and other content imported from your connected sources (Slack, Jira, Gmail, etc.). You control what you connect.
Query logs — the natural-language questions you ask and the responses returned, used to improve accuracy and for your own history view.
Usage metrics — page views, API call counts, feature usage, and error logs to operate and improve the service.

2. How We Use Your Data

Provide and improve the operations-intelligence features of InsightOps.
Process subscription billing and send receipts via Stripe.
Send service communications (trial reminders, security alerts, product updates). You can unsubscribe from marketing emails at any time.
Detect and prevent abuse, fraud, and security incidents.

We do not sell your data to third parties. We do not use your operational event data to train models for use outside your organisation.

3. Data Retention

Operational events — retained for 12 months from ingestion date, then automatically deleted.
Query logs — retained for 24 months.
Account data — retained for the life of your account, or until you request deletion.
Billing records — retained for 7 years as required by applicable tax law.

4. Third-Party Services

Stripe — payment processing. Stripe stores your card details; we store only a customer token. See stripe.com/privacy.
Cloud hosting — servers are hosted on infrastructure in the EU and/or US. Data is encrypted at rest and in transit.
Email delivery — transactional emails are sent via a reputable third-party SMTP provider.

5. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

Access — request a copy of the personal data we hold about you.
Export — download all your organisation's data from Settings → Organisation → Export Data.
Rectification — update your account details at any time from Settings.
Deletion — request deletion of your account and all associated data by emailing privacy@insightops.ai or using the delete option in Settings.
Portability — receive your data in a machine-readable format (JSON export available in-product).

We will respond to all requests within 30 days.

6. Cookies

InsightOps uses strictly necessary session cookies for authentication. We do not use advertising cookies or third-party tracking pixels. Analytics, if enabled, use anonymised data only.

7. Security

We protect your data using industry-standard measures including TLS encryption in transit, AES-256 encryption at rest for sensitive fields, role-based access controls, and regular security reviews.
